How it works today
One set of facts has to reach four systems that know nothing about each other: name, address, VAT number, payment terms, bank details, the signed contract. Each wants the same facts in a different shape and a different order, and one of them refuses the whole form if a single field is wrong.
How it works afterwards
We agree which details are required, which document takes precedence and in what order the systems are completed. The workflow checks the supplied details, looks for an existing supplier and processes the agreed fields in each system.
The contract goes into the agreed folder. You receive one overview with the recorded references and the status of each step. Missing required details or an uncertain supplier match come back to you first.
Where you decide
For this workflow, we agree an approval before payment details are recorded or changed. You check the bank account and decide whether the step may continue. We also agree in advance which other changes need your permission.
If it fails halfway
Then the system does not pretend, and it undoes nothing. A step that was taken is taken. You are told which systems are done, which are not, and where it stopped. What happens next is agreed in advance.
The workflow does not carry out an independent fraud assessment or certify a supplier as trustworthy. We test the full sequence in your systems before putting it to work.
